Choose the right public link to share

Pick the correct customer-facing link for prospects, customers, vendors, marketplace shoppers, and website visitors.

What you will accomplish

You will pick the correct link for each person, copy it without typos, and test it once before sharing.

Overview

Use this guide when you are not sure which link to send.

The wrong link can send someone to a staff-only page, the wrong form, or a page that is not ready yet.

Before you start

  • You have access to Settings > Website & signup.
  • Your public facility page is turned on if you plan to share facility, registration, marketplace, or vendor invoice links.
  • You know who will open the link: a new prospect, an existing customer, a vendor, a shopper, or your website helper.
  • You have time to test the link in a private browser window before sending it.

Step 1: Open Website & signup settings

Go to Settings > Website & signup.

This page contains the links and website tools most facilities share outside the staff dashboard.

Look for these areas:

  • Customer login link for existing customers.
  • Booking box for your website for website code or a small website widget.
  • Registration form cards for the public new-customer form.
  • Public facility page for your public page, marketplace, registration, and vendor invoice options.

Expected result

You are using the settings page that is meant for customer-facing links, not a page inside a customer or staff record.

Step 2: Decide who will open the link

Choose the person or group first. Then choose the link.

  1. New prospect

    Use a public facility page or registration link. A prospect is someone who is not a customer yet.

  2. Existing customer

    Use the customer login link. This sends the customer to the portal sign-in page.

  3. Marketplace shopper

    Use the marketplace link or product marketplace link. Use this only for listings or products you are ready to show.

  4. Vendor or contractor

    Use the vendor invoice portal link only when the person needs to send your facility an invoice.

  5. Website helper

    Send the exact link or embed code, plus a short note that says where it should appear on your website.

Expected result

You know the purpose of the link before you copy it.

Step 3: Pick the correct link

Use this table to match the person to the link. Copy the link from Settings > Website & signup whenever you can.

Use the public facility page when someone should learn about your facility first. The link usually looks like /facility/your-facility-name.

Use the registration page when a new prospect should request storage or send vehicle information. The link usually looks like /facility/your-facility-name/registration.

Use the customer login link when an existing customer should open their private customer portal. Copy this from Customer login link in Settings > Website & signup.

Use the marketplace link when someone should browse cars, products, services, or memberships. The links usually look like /facility/your-facility-name/marketplace or /facility/your-facility-name/marketplace/products.

Use the vendor invoice link when a vendor should send an invoice to your facility. The link usually looks like /facility/your-facility-name/invoices.

Step 4: Copy the full link

Copy the complete link from the page or setting that created it.

Do not retype the link by hand if you can avoid it. Small spelling mistakes can send people to a not found page.

If you are sending the link to someone who manages your website, include the link text you want them to use.

Example:

Please add this link to our website header as a button named "Customer Login": [paste customer login link].

Example:

Please add this link to our Storage page as a button named "Request Storage": [paste registration link].

Expected result

You have a complete link and clear wording for the person who will use it.

Step 5: Test the link before sharing

Open the link in a private browser window or a different browser.

Check:

  • The page opens without showing the staff dashboard.
  • The facility name is correct.
  • The button or form matches what you told the person to do.
  • The page works on a phone-sized screen.
  • If the page collects payment, your team has already tested checkout.

Expected result

You know the link works before a customer, prospect, vendor, or website helper receives it.

Step 6: Add one sentence of instruction

Do not send a bare link with no explanation.

Add one short sentence that tells the person what to do.

Good examples:

Use this link to request storage and tell us about your vehicle.

Use this link to open your customer portal. Enter the email address we have on file for you.

Use this link to submit your invoice and upload the invoice file.

What success looks like

  • The link matches the person's goal.
  • The link opens a public or customer-facing page, not the staff dashboard.
  • Your team tested the link before sharing it.
  • The message explains what the person should do next.
