Configure walkthrough photo defaults

Set the team default for damage annotation during event photo walkthroughs, with per-service overrides when needed.

What you will accomplish

You will choose whether staff should automatically open the damage annotation tool when they capture walkthrough photos during an event—for example at storage intake or condition inspections.

This is a team default. Each event type can follow the default or override it on that service's edit page.

When to use this setting

Turn Auto-open damage annotation on when:

  • Your facility documents existing damage at intake and wants staff to mark scratches or dents on a vehicle diagram.
  • Managers want a consistent photo workflow without relying on staff to remember an extra tap.

Leave it off when:

  • Most of your event types only need simple zone photos (front, rear, odometer) without damage markup.
  • Only one or two services need annotation—you will override those individual event types instead.

Before you start

  • You can open Settings > Events & schedule as a team admin.
  • You know which event types use walkthrough photos (often Vehicle Drop Off, Storage Intake, or Inspection).

Set the team default

  1. Open Events & schedule

    Go to Settings > Events & schedule.

    Scroll to Walkthrough photos.

    Expected result: You see the heading Walkthrough photos and a short note that each service can override this default.

  2. Find Auto-open damage annotation

    Read the label Auto-open damage annotation and the description below it.

    Why this matters: When this is on, the damage markup screen opens right after staff take a walkthrough photo (unless a specific event type overrides it).

  3. Turn the switch on or off

    Flip the switch to match how most of your services should behave.

    Expected result: A short success message appears. The setting saves immediately for your whole facility.

Override one event type (optional)

Some services need different behavior than the team default—for example intake requires damage markup but a quick Customer Tour does not.

  1. Edit the event type

    On Settings > Events & schedule, click Edit next to the service.

  2. Open Photo Documentation

    Scroll to the Photo Documentation section on the Edit Event Type page.

    Find Use team walkthrough photo default.

  3. Choose team default or override

    Leave Use team walkthrough photo default on to follow the team setting you chose above.

    Turn it off to set Auto-open damage annotation only for this service.

    Expected result: This event type behaves differently from others without changing the whole facility default.

Test the behavior

  1. Schedule a test event

    Follow Test an event setup for the event type you changed.

  2. Open Event from Schedule

    On Schedule, open the test appointment and click Open Event.

  3. Take one walkthrough photo

    Capture one required photo.

    Expected result with auto-open on: The damage annotation screen opens without an extra menu tap.

    Expected result with auto-open off: Staff stay on the standard photo list unless they choose annotation manually.
