Automatic document detail entry

Registration photos should update the car record—not sit in a folder while staff re-type plate and expiry.

Why we built it

Insurance cards, registrations, and ID paperwork carry VIN, plate, expiration, and policy details staff would otherwise copy by hand. Automatic document detail entry lets admins turn on AI extraction per document type and choose which vehicle fields each type may populate when staff or customers upload a file linked to a car. Built-in types like Insurance and Registration include suggested field sets; custom types can pick any supported car field.

Who it is for

• Admins defining document types under Configure document requirements.
• Front-desk staff uploading General Document files on customer or vehicle records.
• Customers uploading during portal onboarding when Customer Access is enabled for those types.

What you can do

• Open AI Extraction on a document type and enable analysis for that label.
• Select fields to fill—registration, insurance, identification, expiration dates, and other car attributes supported by the picker.
• Use Apply suggested fields on standard types to start from recommended mappings.
• Let uploads from staff or the portal run extraction in the background after save—review the vehicle record for accuracy before relying on values for compliance.

How it fits your day

Pair extraction with onboarding requirements so new customers upload insurance and registration once, and car fields stay current for Required agreement alerts and service workflows. Extraction assists staff—it does not replace checking blurry scans or expired cards.

Get started

In Settings → Contracts & Documents, edit Registration, enable AI Extraction, apply suggested fields, then upload a test scan on a vehicle and confirm the car record updated as expected.
